HSB is a hospitality specialist that supplies coffee machines, coffee, and related products, among other items. In addition to sales, the company also offers rental services. The organization manages inventory, batches, and expiration dates, as well as international procurement and complex pricing structures.
To effectively support these processes, HSB had been using a comprehensive Klipboard environment from Unit4 for many years. That system worked well in practice, but was no longer being maintained. This created the need for a future-proof ERP platform that would not compromise the flexibility HSB requires.
As is often the case with older ERP systems, HSB’s existing Klipboard environment was feature-rich and had been carefully tailored to the company’s own workflows over the years. Customizations were possible, and the system could accommodate many exceptions in processes.
That is precisely what made a replacement so complex. Modern cloud solutions often offer robust standard functionality but leave little room for customization. Other solutions are technically flexible, but are often managed as a private environment by an implementation partner. This can lead to a dependency on that partner for management, changes, and upgrades.
HSB was therefore looking for a solution that combines the following:
In addition, HSB wanted to simplify its application landscape. Various processes were still supported by standalone applications and Excel files, including off-balance-sheet calculations for shipments, availability, and delivery times.
In collaboration with HSB, Uniconta was selected Uniconta the central ERP platform. Uniconta a modern cloud architecture with the flexibility to configure processes according to our own needs.
Within Uniconta , HSB Uniconta , among other things, work independently with fields, tables, screens, reports, and business rules. This allows many customizations to be implemented through configuration, no-code, and low-code approaches, rather than extensive custom development. As a result, the system remains manageable and upgradeable.
The new layout consists of:
This results in a solution that aligns with HSB’s day-to-day operations, without the organization having to rely on a reseller or a custom development project for every change.
The implementation is in full swing. The goal is a simpler and more manageable IT landscape, in which Uniconta serves as Uniconta central source of truth.
By bringing together standard functionality and relevant add-ons on a single platform, HSB aims to phase out various standalone applications and Excel spreadsheets. This will reduce the amount of manual work involved in processes related to invoice processing, inventory, shipments, and delivery times, and make them more reproducible.
The intended result:
With this move, HSB is building a future-proof ERP landscape: modern and cloud-based, yet with the flexibility required for an organization with complex processes.
